Approval rules
Approval Rules govern how much control sales reps have over the orders placed by or for their assigned customers, and whether those orders need sign-off before they proceed.

Core approval settings
Require representative approval for customer orders before processing
Enabled. Orders placed directly by a customer are held for a sales rep's approval before they move into fulfillment, giving the rep a chance to review pricing, quantities, and availability first.
Reps can modify orders created by other reps when they share the same customer
Enabled. If two reps both service the same customer or company, either can edit an order the other created for that shared account, supporting team-based account coverage.
Reps can see their assigned customer orders
Disabled by default. When this is turned on, one of two visibility modes can be chosen:

| Let reps see all orders for their assigned customers | A rep can view every order tied to their assigned customers, regardless of who placed or created it. |
| Let reps see their own created orders and customer-placed orders for assigned customers | A narrower view limited to orders the rep personally created plus orders their assigned customers placed themselves, excluding orders other reps created for the same customer. |
Approve order action
A separate set of toggles enables specific order actions for sales reps once the approval workflow above is in place. All are disabled by default, meaning reps cannot perform these actions until an admin opts them in individually:
- Order fulfillment
- Edit order (add/remove items, shipping fees, tags & notes)
- Cancel order
- Return order
- Refund order
- Payments (collect payment, mark as paid, send invoice)
Enabling an action here grants it to every sales rep store-wide; there is no per-rep override on this screen, so these should be turned on only once the surrounding approval rules match how much autonomy reps should have.
