Overview
This module is written for store owners, warehouse staff, and operations teams who manage stock levels directly from Shopify Admin. It covers uploading inventory via CSV, editing records inline, adjusting unavailable buckets, receiving incoming stock, and exporting inventory data.
In this guide:
What is Inventory?
The Inventory module is a warehouse/location-based stock management system, opened from Shopify Admin → Apps → B2B Plus → Inventory, that tracks stock in more detail than Shopify's native on-hand count. It tracks:
- On-hand quantities — physical stock actually sitting in the warehouse
- Sellable inventory — quantity available to sell, broken out by season, type, and date range
- Committed stock — quantity reserved against open orders
- Incoming inventory — stock that is on order or in transit but not yet received
- Unavailable buckets — damaged, quality-control, safety-stock, and other quantities that are on-hand but not sellable
Key Features
- Bulk inventory upload and export via CSV, including a choice of overwrite, add, or full-replace update modes
- Inline editing of Available and On Hand directly in the table, with a per-row save control to commit changes to both the app and Shopify — there is no separate bulk-edit action
- A Receive incoming workflow — click a row's Incoming value to open an inline receive panel — that moves stock from Incoming into sellable Quantity and physical On-hand
- Unavailable-bucket management — click a row's Unavailable value to add, move to available, or delete stock across the damaged, quality-control, safety-stock, and other buckets, right from the table
- Automatic purchase order generation for items with negative or low inventory
- A live storefront Product Order Matrix that reflects B2B Plus inventory, not Shopify's native inventory count
- Filtering, search, and saved custom views for frequently used inventory segments
- A full upload history and log of every CSV import, with per-row success and error detail
How Inventory Works
Every inventory record combines a product SKU with a warehouse, season, and Type (Immediate, Future, Prebook, or one of their aliases) to define exactly when and how that stock can be sold. The Type field maps to one of three underlying profiles — Immediate, Future, or Booking — which determine whether the storefront enforces standard quantity limits, requires a delivery window, or allows ordering beyond currently available stock. Inventory Types covers each type and profile in detail.
Because a single SKU can have multiple inventory records — one per warehouse, season, and type combination — the same product can be Immediate in one warehouse while also being sold as a Future or Prebook item from another, each with its own quantities and availability dates.
Inventory Workflow
- Sync products — Products must already exist in Shopify and be synced into B2B Plus before inventory can be created against their SKUs. See Before You Begin.
- Create inventory — Records are created in bulk via CSV upload or edited directly in the Inventory list, each tied to a warehouse, season, and type.
- Surface to the storefront — Sellable quantities feed the live Product Order Matrix that B2B buyers see when placing orders. See Inventory Availability (Based on setting).
- Commit on order — As orders are placed, quantity moves from sellable into Committed, reducing what remains available to other buyers.
- Receive incoming stock — When a shipment arrives, click the record's Incoming value to receive it inline — Incoming decreases and sellable Quantity and On-hand increase by the received amount. See Viewing Inventory.
- Adjust unavailable stock — Click the record's Unavailable value to move damaged, quality-control, safety-stock, or other non-sellable quantities in or out, right from the table.
- Export and audit — Inventory can be exported at any time. See Exporting Inventory. Every CSV upload is recorded in Logs → Upload History. See Troubleshooting.
